1. Information We Collect

When you use Velantrix, we collect the following types of information:

• Account Information: Email address when you create an account
• Profile Data: Optional information such as display name, birth date (for age verification), and location (city/country) if you choose to provide it
• Usage Data: Information about how you use the app, including sessions created, features used, and listening patterns
• Device Information: Device type, operating system, app version, and timezone
• Payment Information: Processed securely through Stripe; we do not store your payment card details

2. How We Use Your Information

We use the information we collect to:

• Provide and improve our audio engineering service
• Personalize your experience based on your preferences and usage patterns
• Process payments and manage your subscription
• Send you important updates about your account and the service
• Analyze usage patterns to improve our algorithms and features
• Ensure the security and integrity of our service

3. Data Storage and Security

Your data is stored securely using industry-standard encryption and security practices. We use Supabase for our database infrastructure, which provides enterprise-grade security including encryption at rest and in transit. Audio files you generate are stored at private, unguessable addresses linked to your account; they are not listed publicly, but anyone you share a session link with will be able to access that session's audio. Deleting your account removes the audio files and the session card images generated for you. It does not remove everything we hold about your sessions; section 7 sets out what is kept and why.

4. Third-Party Services

We use the following third-party services to operate our platform:

• Stripe: For secure payment processing
• Language and Audio Processing Providers: When you describe how you want to feel or perform, the text of your session request is sent to third-party language-processing and audio-generation providers so The Velantrix Engine can construct your session. These providers process your request text to generate your session and do not receive your name, email address, or account details alongside it
• Cloud Infrastructure: For database, storage, and authentication services

Each of these services has their own privacy policies governing how they handle data. Please avoid including personal identifying information (such as full names or contact details) in your session descriptions.

5. Your Rights

You have the following rights regarding your personal data:

• Access: Request a copy of your personal data
• Correction: Update or correct inaccurate information
• Deletion: Delete your account and personal information through the app settings
• Portability: Export your data in a machine-readable format
• Opt-out: Unsubscribe from marketing communications at any time

6. Using Session Information to Improve the Product

We analyse information about sessions to improve how The Velantrix Engine builds them. That covers what people ask for, the settings a session was built with, how it was played, and any feedback given.

While your account is open, these records stay linked to it. They can include the request you typed, together with details such as your age, gender and city, so they are not anonymous at that point. Section 7 explains what happens to them when you delete your account.

7. Data Retention and Account Deletion

What deleting your account removes. Deleting your account from the app settings closes the account and removes the audio files and the session card images generated for you, along with your profile. If a file cannot be removed at the time, the deletion still goes ahead and that file may remain in storage; contact us if you need confirmation for a particular session.

What we keep, and for how long. We keep information about your sessions indefinitely and use it to improve the product. That means what you asked for, in the words you typed, together with the conditions recorded at the time, such as the time of day, the device you used, your general location and the local weather. When you delete your account we remove the account link from your saved sessions and from the analysis records built from them, and we destroy the key that would let us restore it, so those records are no longer connected to your name or email address. The records themselves are not deleted, and the text you typed stays in them. Because we keep your request exactly as you wrote it, please avoid typing names, contact details, or anything else you would not want kept, into a session request.

Records we keep in an identifiable form. Some records keep the identifying details attached, each for a specific reason. These include: records needed as evidence if a payment is disputed or an account is investigated for abuse; a record that an email address has already claimed its free Build, so that it cannot be claimed repeatedly; and your address on our do-not-contact list if you have unsubscribed, because removing it would start sending to you again.

Scheduled anonymization. A scheduled job replaces the account link on certain website analytics and purchase records after 90 days with a separate internal identifier. This does not cover everything: your library, your plays and your session analysis records stay linked to your account for as long as the account is open. While the account is open we keep the reference that connects that internal identifier back to you, so this step is reversible until you delete the account.

8. Children's Privacy

Velantrix is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the service after any changes constitutes acceptance of the new policy.
